Executive & Personal Assistant to CEO of Africa.com / Jr. Office Coordinator
Location: New York City
Role Overview
I. Executive Assistant to the CEO:
This position provides primary support to the CEO, a role that includes the following:
1. Manage an extremely complex global calendar (scheduling appointments by phone and email, across multiple time zones including Africa and Europe)
2. Coordinate and arrange meetings and schedules within an extremely fast pace and international environment
3. Arrange and coordinate complex and frequently changing domestic and international travel arrangements and logistics, including obtaining international visas
4. Schedule executive level conference calls, in-person meetings, and on-site/off-site meetings with clients, c-suite executives, and employees. This requires understanding the priorities in alignment for the business and firm
5. Serve as gatekeeper to media and others seeking contact with CEO
6. Keep contacts list in Gmail up-to-date
7. Provide updated contacts to editor for weekly newsletter blast to customers
8. Manage sensitive, highly confidential, and proprietary information with discretion and the utmost level of confidentiality
9. Field routine and non-routine questions with a high level of composure, professionalism and a service attitude
10. Identify and take a pro-active approach to assigned tasks
11. Answer, handle and screen telephone calls from clients, c-suite executives, and employees
12. Process expense reports
13. On a regular and consistent basis, review and prioritize email, phone, text, and other forms of correspondence. This role may require irregular work-hours to support global executive schedule
14. Assist with personal requests, i.e. liaise with contractors for her properties, banking, subscriptions, visa/passport, etc.
15. Must be a self-starter, proactive, responsive, and resourceful
16. Approach your work with a highly flexible and motivated attitude, with an ability to work independently as well as in a team setting
17. Consistently demonstrate the highest level of professionalism and discretion
18. Demonstrate a high degree of technology savvy with an ability to learn new systems as necessary for the function
19. Work independently, prioritize work, and execute simultaneous assignments with success and accuracy
II. General Office:
This position also includes general office manager responsibilities:
1. Manage files for employees, correspondence, contracts, etc.
2. Open, sort, and distribute mail and packages
3. Order and stock appropriate office supplies and equipment for staff
4. Change printer toners and arrange for service as needed
5. Screen and answer phones as needed
6. Schedule and coordinate internal and external meetings using Gmail or direct contact
7. Greet & welcome guests
8. Reserve conference rooms
9. Coordinate use of guest offices
10. Arrange conference calls and dial in numbers

7. Microsoft Office skills, particularly Excel, are a must

Compensation:
